Identify the sample and approval stage
Record the model number, colorway, size, sample date and revision. State whether the pair is for visual review, fit approval, sales presentation or production confirmation. Avoid mixing feedback from different versions.
Review appearance in a fixed order
Begin with overall silhouette, then inspect upper pattern, stitching, bonding, color, surface finish and left-right consistency. Use the same sequence for every review so small issues are less likely to be missed.
Measure the fit, not only the label
Confirm the marked size, internal length and fit against the agreed benchmark. Ask more than one suitable wearer to note toe allowance, forefoot pressure, heel hold and collar comfort. A single quick try-on is not a complete fit review.
Match materials to the approved specification
Check mesh, overlays, lining, foam, outsole rubber, laces and trims against the approved swatches or specification. If a substitution is proposed, record it as a new approval item instead of assuming it is equivalent.
Inspect branding and labeling
Verify logo position, scale, color and production method. Check tongue labels, size labels, sockliner printing, hangtags, shoe box artwork and carton marks. Confirm country-specific size and language requirements before artwork is finalized.
Turn comments into actions
Number every comment and attach a close-up photo. Write the current condition, the required change and the acceptance criterion. “Improve the shape” is difficult to execute; “reduce the lateral heel extension by the agreed amount and match the approved side-view markup” is actionable.
Issue one clear approval record
Close the review with a single document listing approved points, required corrections and items still open. State which corrected sample, swatch or photograph will provide final confirmation. Bulk production should begin only after both sides share the same locked reference.
